Privacy Policy

Oasis Studios by BuildOS (“the platform”) is the internal operations platform of the Oasis Studios family of home-improvement businesses. It is used by our own team members and invited collaborators. This policy describes what the platform collects and how that information is used.

Information we collect

• Account information. Your name and email address, provided when you sign in with Google or with an email sign-in link, and the roles assigned to your account by an administrator.
• Usage records. Actions you take on the platform (such as signing in, viewing work queues, and team administration) are recorded in an audit log so the business can operate safely.
• Business records. Job, appointment, and customer records that the business already maintains are displayed to team members according to their roles.

How information is used

Information is used only to operate the platform: authenticating you, showing you the work relevant to your role, sending you sign-in and invitation emails, and keeping an accurate record of account activity. We do not sell personal information, and we do not share it with third parties except for the service providers that host and deliver the platform (cloud hosting, authentication, and email delivery), each acting on our instructions.

Aria AI assistant

When you choose to ask Aria a question, your message, a limited set of approved Oasis standards, and sanitized workspace aggregates (job counts by city, ZIP, status, year, and scope — never street addresses, customer names, phones, emails, or prices) may be processed by our contracted AI provider to generate an answer. Do not enter personal information in an Aria message.

Aria is read-only on this platform. She cannot change records, send or sign documents, approve work, finalize estimates, or take actions on your behalf. The platform records limited operational data such as whether a request succeeded, the tools used, token counts, and timing; it does not intentionally retain your prompt or Aria's answer in BuildOS logs. Provider processing and retention follow the commercial service arrangement in effect for Oasis Studios. Contact the platform administrator at the address below for access, correction, or deletion questions.

Sign-in with Google

If you sign in with Google, we receive your name, email address, and profile picture from your Google account. This is used solely to create and identify your account. The platform does not request access to any other Google data.

Retention and your choices

Account and audit records are retained while the platform operates, as business records. To correct or remove your account information, contact the administrator who invited you or email notifications@mail.buildos.studio.

Data Retention and Deletion

Bank account and transaction data received through Plaid or directly from our banks is used only for the company's internal bookkeeping. We keep it for as long as it is needed for bookkeeping and tax record-keeping, up to seven (7) years, consistent with IRS record-retention guidance. When a bank connection is disconnected, its access token is revoked immediately and deleted from our systems. Raw bank data that has not become part of the company's accounting records is deleted within 90 days of disconnection. Deletion requests may be sent to odai@oasisrenovations.studio and are completed within 30 days. This policy is reviewed at least annually.

Changes

If this policy changes, the effective date above will be updated and the current version will always be available at this address.
